- Event planning, creative direction, and styling
- Other customized design and event-related services

Each project is individually evaluated according to its scope, location, complexity, creative requirements, and scheduling availability.

Professional services may be subject to separate proposals, invoices, and written service agreements.

## 15. Booking Retainers — Definition and Purpose

A **booking retainer** is a payment made to secure PIEvents And Co's professional availability and commitment to a client's project.

Unlike a standard refundable deposit, a booking retainer compensates PIEvents And Co for reserving limited professional capacity, allocating resources to the project, and declining potential conflicting bookings.

The required booking retainer amount varies depending on the type of service, project scope, location, and reservation requirements.

The applicable amount will be clearly indicated on the relevant booking page, invoice, proposal, or service agreement before payment.

**All booking retainers are credited toward the total cost of the client's approved project. They are not additional charges.**

## 16. Non-Refundable Booking Retainer Policy

Once PIEvents And Co has accepted a reservation, the booking retainer is **non-refundable** if the client:

- Changes their mind or decides not to proceed with the project.
- Cancels the requested services for personal reasons.
- Changes their decorating plans, preferences, or priorities.
- Chooses another service provider.
- Decides not to use the reserved services.
- Indefinitely postpones or abandons the project.

A booking retainer is intended to compensate PIEvents And Co for reserving professional availability and capacity, rather than solely for the physical installation or completion of design work.

**Accordingly, the booking retainer remains non-refundable following acceptance of the reservation, even if design, planning, or installation work has not yet begun.**

**If PIEvents And Co is unable to accept or perform the requested project, the booking retainer will be refunded in full.**

Refunds will be issued to the original payment method.

## 17. Reservation and Booking Confirmation

Clients may submit booking retainers through our website, Shopify checkout, or an approved payment link.

Following payment, clients may receive a questionnaire requesting information about their project, design preferences, event or installation requirements, location, preferred dates, and estimated investment.

A specific date does not necessarily need to be selected at the time of payment unless expressly required for the applicable service.

Payment alone does not guarantee a particular installation or event date.

A reservation becomes accepted when PIEvents And Co confirms its ability to accommodate the project in writing.

Specific dates and final project arrangements are confirmed separately.

If PIEvents And Co determines that it cannot accommodate the requested project, the booking retainer will be refunded in full.

Your booking retainer reserves your place for consideration on our limited holiday calendar. Your reservation is confirmed once PIEvents & Co. accepts your project in writing. Your preferred installation date will be confirmed separately, subject to availability.

## 18. Holiday Decorating Season and Installation Hours

Our principal holiday installation season generally runs from **November 1 through December 15**.

Installations are typically scheduled between **6:00 AM and 9:00 PM**, depending on project requirements, location, and availability.

Requests outside these dates or hours may be considered individually and may involve additional charges.

Bespoke residential holiday decorating projects begin at $3,500, with most customized designs ranging from $5,000 to $25,000 or more, depending on the scope, scale, location, design requirements, and decorative elements selected. Destination projects are quoted individually and may require a higher investment due to travel, accommodations, staffing, and logistical requirements.

## 19. Project Pricing and Additional Charges

Professional service pricing is determined by the project's individual requirements.

Additional costs may apply for larger or multiple Christmas trees, extensive residential or commercial installations, specialty decorative elements, custom-made décor, additional labor, travel, transportation, accommodations, equipment, logistics, or additional locations and services.

The applicable project scope and pricing will be provided for client approval.

Booking retainers will be applied toward the project total as specified in the applicable agreement.

## 20. Client Cancellations

Clients wishing to cancel a booked professional service must notify PIEvents And Co in writing at info@pieventsandco.com.

Following acceptance of the reservation, booking retainers are non-refundable in accordance with Section 16.

Any additional payments, committed expenses, cancellation charges, or outstanding obligations will be determined by the applicable service agreement.

## 21. Rescheduling

For holiday decorating reservations, one complimentary rescheduling request is permitted, subject to availability and provided the change does not create additional committed costs.

Further rescheduling requests may incur additional fees.

A new installation or event date is not guaranteed until confirmed in writing.

Rescheduling arrangements for weddings and other professional services are governed by their applicable service agreements.

## 22. Design Preferences and Customization

Our professional services are customized to reflect each client's preferences, property, event requirements, and creative vision.

Design concepts, decorative selections, layouts, and installation requirements may affect the final price.

Changes requested after approval may require additional fees, revised timelines, or updated proposals.

Any material changes to the approved scope will be communicated for client approval.

## 23. Installation Access and Property Conditions

Clients must provide safe and reasonable access to the areas designated for installation.

Clients are responsible for disclosing known structural defects, unsafe conditions, or other site hazards that could affect the installation.

Additional labor or equipment charges may apply for restricted access, unusual installation conditions, or special requirements.

Our team will exercise reasonable care when handling and installing decorative materials.

PIEvents And Co is not responsible for losses caused solely by undisclosed pre-existing structural defects or unsafe conditions beyond its control, except where liability cannot legally be excluded.

## 24. Ownership of Holiday Decorations

PIEvents And Co specializes in bespoke holiday decorating rather than standard décor rentals.

Unless otherwise expressly agreed in writing, trees, ornaments, ribbons, garlands, and other decorative products purchased specifically for the client's project become the client's property in accordance with the applicable service agreement.

Ownership and payment arrangements for custom or specially sourced items may be further detailed in the project agreement.

## 25. Takedown and Additional Services

Holiday décor takedown and removal services may be arranged for an additional fee.

Availability, scheduling, pricing, and scope are determined individually.

Storage, maintenance, redesign, or additional seasonal services may also be offered under separate arrangements.

## 26. Destination Projects

For mountain destinations, resort communities, luxury properties, and projects requiring travel, additional charges may apply for transportation, accommodations, labor, equipment, shipping, and logistical requirements.

Project acceptance and scheduling are determined individually.

Destination projects may require additional payment arrangements and contractual provisions.

## 27. Events Beyond Our Control

If severe weather, natural disasters, government restrictions, transportation disruptions, or other circumstances beyond our reasonable control prevent a scheduled service, PIEvents And Co will discuss available rescheduling options.

If PIEvents And Co is unable to perform the contracted services and no mutually acceptable alternative can be arranged, the booking retainer will be refunded in full. Any other payments or expenses will be addressed under the applicable service agreement.

## 28. Service Agreements and Payment Schedules

Professional services may require a separate written proposal and service agreement.

Payment schedules, installment amounts, remaining balances, and due dates will be specified in the applicable proposal, invoice, or service agreement.

Where a signed service agreement applies, its project-specific provisions govern in the event of a conflict with these general Terms & Conditions.

For holiday decorating projects, the booking retainer is first deducted from the approved total project price. Upon approval of the project quotation, 50% of the remaining balance is required to begin the detailed design, planning, and sourcing process. The final 50% of the remaining balance is due no later than 14 days before the scheduled installation, unless otherwise agreed in writing. The booking retainer is credited toward the project total and is not charged in addition to it.
